Position: Office Manager, Full-Time

Salary Range: $51,573.54 to 55,539.07 D.O.E. Grade 16

Hours of work: 8:00AM to 5:00PM, Monday-Friday.

Job Summary: This position performs full accounting, administration and general office duties that require considerable independent judgment; maintains departmental personnel files; works with the Airport Manager to prepare annual operating and capital improvements budget. This individual is responsible for all office duties; therefore, a great degree of flexibility and multitasking is necessary.

MAJOR DUTIES: 

  • Performs complete bookkeeping duties by maintaining a full set of books utilizing Quicken Quick Books software. To include: accounts receivable – monthly billings, service charges, aging reports and deposits; accounts payable – voucher preparation and printing of checks; general journal – adjusting entries and preparing monthly/yearly financial statements, profit and loss reports, balance sheets, etc.; tabulates airport payroll information and submits to the Sheridan County Payroll Clerk.
  • Administers Federal Aviation Administration and State of Wyoming Aeronautics Grants.
  • Handles collections on past due accounts.
  • Answers telephones and greet visitors; provides information and assistance; takes messages; refers to appropriate personnel; makes appointments.
  • Establishes, maintains, and updates filing systems, mailing lists, chart of accounts, etc.; processes and compiles a variety of routine and complex documents i.e. lease spreadsheets, statistical reports, etc.
  • Maintains department financial records; assists in the development and administration of the annual operating and capital improvement budgets.
  • Prepares and maintains the fixed asset and depreciation schedule; assists auditors and accountants by providing documentation and information.
  • Balances petty cash.
  • Attends and takes minutes at the monthly airport work session with the Board of County Commissioners.
  • Arranges appointments for the Airport Manager and makes travel arraignments for airport personnel.
  • Performs any other related work as required.

KNOWLEDGE/SKILLS:

  • Accounting knowledge (A/R, A/P, General Ledger, etc.).
  • Proficient knowledge of PC operations and job-related software programs. Quick Books, Excel, and Microsoft Office applications required.
  • Knowledge of modern office practices and procedures.
  • Knowledge of generally accepted accounting principles.
  • Knowledge in government procedures and policies including Federal, State, and County.
  • Skill in data entry with the ability to read, interpret, and analyze computer records.
  • Skill in the provision of customer services.
  • Skill in analyzing problems and identifying solutions.
  • Skill in interpersonal relations.
  • Skill in establishing cooperative and productive working relationships.
  • Skill in oral and written communication.

 

MINIMUM QUALIFICATIONS:

  • Experience: Five to seven years experience in keeping a full set of books; proficient secretarial, office management, and computer skills.
  • Education: Associate degree with bookkeeping experience preferred.
