Title: Information Specialist
Location: 211 Smith Street, Sheridan, WY 82801
Reports to: Director of Development
ESSENTIAL JOB FUNCTIONS
Patron Service, Professional Conduct & Development
- Provides a consistently welcoming, professional, and helpful first impression for all visitors and callers.
- Communicates respectfully and professionally with patrons, coworkers, and supervisors at all times.
- Accurately directs patrons to appropriate programs, staff, or locations within the building.
- Maintains an organized, efficient, and well-functioning reception area.
- Ensures the lobby and public spaces are clean, presentable, and inviting throughout the day.
- Assists patrons with activity and program registration in a timely and accurate manner.
- Works collaboratively as part of a team to support daily operations and patron needs.
- Completes employee orientation and participates in required ongoing training and professional development.
Information, Referral & Program Awareness
- Demonstrates strong knowledge of The Hub on Smith’s programs and services and shares information clearly and accurately.
- Provides appropriate referrals to patrons based on identified needs.
- Collaborates with Fun & Wellness staff to keep bulletin boards content up to date.
- Accurately tracks patron pickup of the quarterly Hub newsletter using established systems.
Administrative Accuracy & Support
- Completes clerical and administrative tasks accurately, efficiently, and on time.
- Enters data into computer systems with attention to detail and minimal errors.
- Collects and submits weekly menu information and other required updates to media outlets by established deadlines.
- Accurately processes financial transactions using the point-of-sale system (Square).
- Maintains accurate records and handles patron and financial information responsibly.
Safety, Security & Confidentiality
- Opens and secures the building daily in accordance with established procedures.
- Identifies and immediately reports health or safety concerns involving individuals or programs to a supervisor.
- Strictly adheres to confidentiality policies and procedures at all times.
- Additional tasks and responsibilities as needed to support the organization's goals and operations.
Knowledge, Skills, and Abilities
- Coachable with a willingness to learn and adapt to a changing workflow.
- Knowledge of patron service principles and basic front desk or administrative operations.
- Strong organizational and time-management skills with attention to detail.
- Basic computer skills, including data entry and use of office software and spreadsheets.
- Ability to communicate clearly and professionally with the public, staff, and partners.
- Ability to accurately handle financial transactions and use a point-of-sale system.
- Ability to maintain confidentiality and follow policies and procedures.
- Ability to identify and report safety concerns promptly.
- Ability to work independently while contributing positively to a team environment.
Physical Demands
- Frequently sits, stands, and walks throughout the workday.
- Frequently communicates verbally and in writing with patrons and staff.
- Regularly uses hands and fingers to operate office equipment such as computers, phones, and point-of-sale systems.
- Occasionally bends, reaches, stoops, or twists while performing job duties.
- Occasionally lift, carry, push, or pull items weighing up to 25 pounds (such as office supplies or program materials).
- Requires visual acuity to read screens, printed materials, and signage.
- Requires the ability to hear and respond to conversations and phone calls, with or without assistive devices.
Minimum Qualifications
- High school diploma or equivalent required.
- One year of experience in patron service, front desk, administrative support, or a related role preferred.
- Basic computer proficiency, including data entry and use of email, spreadsheets, and office software.
- Ability to communicate clearly and professionally with the public and coworkers.
- Ability to handle financial transactions accurately.
- Ability to maintain confidentiality and follow established policies and procedures.
- Ability to work independently and as part of a team.
