Job Purpose:
The Executive Assistant provides high-level administrative support to the CEO, enabling them to focus on strategic leadership and company growth. This role is critical in managing priorities, communications, and logistics in a fast-paced, hands-on environment. As a trusted partner, the Executive Assistant ensures the CEO’s time is optimized and that operations run smoothly - helping drive the success of our employee-owned company. The Executive Assistant also serves as a liaison to the board of directors. This position reports to the CEO.
Key Responsibilities:
Calendar & Scheduling: Manage and prioritize the CEO’s calendar, including internal/external meetings, travel, and appointments. Coordinate master calendar of All Hands meeting presenters and presentations. Host meetings when necessary. Manage proposal solicitation schedule, ensure timely participation, engagement and compliance.
Communication Support: Serve as the first point of contact for internal and external stakeholders on behalf of the CEO; draft and manage correspondence, emails, and reports. Review, organize and use discretion in responding to emails on behalf of the CEO. Quote select projects and serve as the main point of contact on customer correspondence.
Meeting Coordination: Prepare agendas, materials, and minutes for executive and leadership meetings; ensure appropriate follow-up on action items.
Travel & Expense Management: Coordinate travel arrangements and accommodations; prepare itineraries and manage expense reports and reimbursements.
Document Preparation: Create and edit presentations, spreadsheets, reports, and other documents as needed by the CEO and Board. Manage and coordinate company contracts and inquiries.
Project Support: Assist with special projects, initiatives, and research that support company priorities and CEO goals. Manage Kennon’s 2 charitable contributions, sponsorships and donations. Review company opportunities and solicitations for appropriate fit. Manage surveys.
Confidentiality & Discretion: Handle confidential and sensitive information with the highest level of professionalism.
Office & Event Support: Help plan and execute leadership retreats, internal meetings, and company events when necessary. Provide backup support and coverage for CEO or key personnel when necessary. Coordinate and provide company tours. Manage company portals – access, updates and forms (SAM, OASIS, Exostar, Authorize, etc.). Participate in select committees on behalf of CEO when necessary. Provide company-wide support in other areas as needed.
Qualifications:

3+ years of professional work experience.
Demonstrated experience managing multiple projects simultaneously; detail orientated; highly organized.
Excellent communication skills (telephone, face-to-face, written and email).
Strong interpersonal skills, with a professional demeanor when engaging both internally and externally.
Understanding of budgeting, scheduling, and resource allocation.
Ability to work under pressure and adapt to changing priorities; calm under pressure; solutions oriented.
Proficiency level of expert in MS Office and Google suite products
Preferred Qualifications & Requirements:
Bachelor’s degree, or 5+ years’ management experience
Professional experience in engineering or manufacturing companies, and/or small business operations

Salary range is $55,000 to $75,000 based on experience.
